Some direction for students on how to digitally represent themselves at Evergreen.

When you were admitted to Evergreen, you started with a recorded legal name and gender marker. In many cases this name and gender is absolutely important and cannot be substituted or changed except through a legal name and/or legal gender change. Some examples are official college transcripts, federal and state financial aid, payroll and tax information and the like. In systems such as these, we are required to use the legal name and gender. Using a chosen name or gender marker is not optional and is out of our control. In systems internal to Evergreen though, identifiers of people are not so absolute. It is an important Evergreen value to provide students the ability to choose how they represent themselves digitally, which may extend beyond this narrow interpretation of identity when possible. Some ways already exist for students (with help at times from their faculty) to control how their chosen name appears in some of our more frequently used systems.

=== Request a Chosen First Name ===

Registration and Records offers students the ability to have a [http://www.evergreen.edu/registration/changing-personal-info.htm chosen first name] entered into the college’s student information system (Banner). Some Evergreen systems can display this information and other systems not so well.

=====Where your chosen name will appear=====
At this point in time, we know these systems are connected to, and can use the chosen first name information from Banner:
*'''Timesheets and Paychecks'''– If you are a student staff and are paid by the College, your chosen name will display when you are logging your time or certifying your timesheet. Your legal name will display on your paychecks.
*'''Evaluations'''– Your chosen first name will appear on the page where you write and submit your evaluations. No name (legal or chosen) appears on your academic progress or academic statement pages. On the faculty side, your faculty sees your legal name and gender on record. We must use your legal name and gender in your transcripts. However, your faculty may use your chosen name and gender neutral pronouns in the text of your evaluations. Here are the commonly agreed upon gender neutral pronouns faculty may use in your evaluations: http://www.evergreen.edu/registration/gender-evals. To help those who read your evaluations, the faculty must reference your legal name in the first sentence. They may then use your chosen name throughout the rest of the evaluation. You should give careful consideration when requesting to use a chosen name and/or pronoun, as this choice will be permanently reflected in the narrative portions of your transcript.
*'''Canvas''' – Your chosen name in Banner will automatically fill in Canvas if the “display name” in Canvas has not already been altered. You can go back at any time and change your display name in Canvas. More on Canvas further down in this post.
*'''Evergreen email''' –Your assigned Evergreen email is based on the same you select from the student name change portal. This can be changed three times per academic year and can either reflect your legal name, chosen name or a random set of letters if you don't want your email to be name based.

===== Where your chosen name will not appear =====
Evergreen has many systems that display student name, gender and/or username (what you use to login to my.evergreen.edu). Some are not currently able to display a chosen name. Some are required to display your legal name. Most obvious of these systems to the student are:
*'''Academic Statement'''– This document is the first page of your transcript and therefore is required to have your legal name in the header.
*'''Class lists''' –Class lists currently display legal name. We are working toward adding your chosen first name from Banner to these lists.

===== What you can control - with or without requesting a chosen name=====
Some systems use Evergreen "usernames" as identification instead of Banner information. In these systems, people can update the displayed or chosen name in the profile information. These systems include;
*'''Greener Commons''' – you can update your display name to whatever you want.
*'''WordPress''' – This is the application that runs blogs.evergreen.edu and sites.evergreen.edu. Like Greener Commons, you can update your profile to whatever you want.
*'''Canvas''' – If you have a chosen name on file, it will automatically display here unless you change it. Like Greener Commons and WordPress, you can change your display name to whatever you want. Here is the link on how you change your Canvas display name: http://guides.instructure.com/m/4212/l/41957-how-do-i-change-my-user-settings.

=== Formal Name Change Process ===

Students can go through the process of requesting a formal name change. This process is a legal change and, therefore, requires the necessary documentation to process. For more on that, see the resource page developed by Registration and Records on how to walk through the process of doing a legal name change with the college.

http://www.evergreen.edu/registration/changing-personal-info.htm

To reiterate, this is an imperfect system. We are working to actively improve this important service for students to be easier, cleaner and more predictable. As with many similar technical ecosystems where newer applications are built on top of many previous older applications, it will take time and resources to sort it all out.

== Account Creation ==
Student My Evergreen accounts are created automatically as soon as the student is made active in Banner, the college’s Student Information System (SIS). The source of this information is either from Admissions systems or manually entered by Registration staff.
== Account Activation ==
There are several steps students will need to go through to activate their new My Evergreen account. An email will be sent to the student's non-Evergreen mailbox that we have on record which will explain the following activation steps.
# '''Look for an email''': Evergreen will send an email to your non-Evergreen email account. If you don't get one, contact the Student Tech Support Center (360 867-6231. They can work with you to get a new email sent or complete the activation steps with you.
# '''Change Password:''' Login to activate.evergreen.edu with the temporary username provided in the email. Students will be asked to verify their identity (a verification code will get sent to the non-Evergreen email) and asked to change their password
# '''Select a Username''': Once the password has been changed students can choose a new Evergreen username/email based on a selection of choices. This is not set forever, students will be able to select a different username/email up to three times per academic year.
# '''Login to My Evergreen''': Once the systems synchronize and your new username is ready, an email will be sent to your non-Evergreen email address. After students receive this email they can login to my.evergreen.edu with your new username and password. This last step will create a new home directory for you as well as a new Evergreen email account.
== Resources ==
Every new student has access to standard resources once their account has been activated. These include
* '''Home directory''' for managing and saving work.
* Evergreen '''email account'''
* membership to the '''All Student DL'''
Additionally, My Evergreen is where you can get access to many resources. for an overview of these and other useful tools, please go to [[My Evergreen Help|My Evergreen Help.]] You are also added to the All Student Distribution List which may send you periodic campus emails. In addition, your account now gives you access to;
* '''Schedule Evergreen''' - See public events and manage your schedule through Schedule Evergreen
* '''Academic Progress''' - View all of your credits and evaluations of you by faculty
* '''Academic Statement -''' Create and edit your orientation essay and academic statement
* '''Evaluations''' - View past evaluations and edit new ones
* '''Program and Class home pages''' - Access to your Canvas or Wordpress site for your program

===Getting Started===
#faculty should go to [https://my.evergreen.edu my.evergreen.edu] and login
#Select '''Faculty Class Information''' (See [[:Image:Banner faculty information.png|Figure 1]])
#Choose the term you want to work with (See [[:Image:Banner select term.png|Figure 2]])
#Select CRN for class from drop down list (See [[:Image:Banner select crn.png|Figure 3]])

===Summary Class List===
(See [[:Image:Banner summary classlist.png|Figure 4]]) Use this page to view summary information for your course or program including:
*Course Information
*Enrollment counts
*Summary listing of all enrolled students

===Faculty Detail Schedule===
* provides summary of all CRNs associated with faculty (See [[:Image:Banner Faculty Detail Schedule.png|Figure 5]])
* # of enrolled students
* # of wait listed students

===Emailing Students===
From the '''Summary class list''' page you can send e-mail to an individual student and (at the very bottom) to the whole class.
#navigate to '''Summary class list'''
#at the bottom of list click '''Email class'''
#this will launch your local email client and populate the bcc field with all of the students '''preferred''' email addresses.
#This will launch a local (not web) email application, such as Outlook or Mail for Mac. If you do not have a local client, there is a workaround (although it's pretty ugly).

'''Known problems:'''
*'''Mac users''': the listing uses semi-colons between email addresses and will NOT work in Mac Mail. Copy and paste the listing of email addresses (with the semicolons) into Outlook Webmail and send from there.
*'''No local email client''': Only access email from a browser, then the above will not work. From the summary class list page, don't click on the link that says "Email class" at the bottom left, but simply hover your mouse over the link and hit Control/C (copy). You can then go to your email, compose a message and in the "To" field, click Control/V (paste). This will paste in the link text which is all of the email addresses that are part of this link, with some extra HTML code that you have to then get rid of.
:
:Copied and pasted the link contents into my "To" field in my browser:
:
:<nowiki>Email class</nowiki>
:
:And this striked text below is what you would get rid of, leaving the email addresses only separated by semicolons:
:
:<nowiki><a href="mailto:?Bcc=</nowiki>notone44@evergreen.edu;fakers99@evergreen.edu">Email class
:
:
===Registration Permits/Overrides===
#Choose '''Registration Overrides''' from the Faculty Services tab
#the A# of students is "sticky" and will automatically display the last student selected
#to change to a new student select '''ID Selection''' from the links at the bottom of the page
#Enter the A# of the student for whom you'd like to set an override (See [[:Image:Banner ID Selection2.png|Figure 6]])
#select the type of override: campus, class, signature
#choose the CRN (See [[:Image:Banner registration overrides.png|Figure 7]])

===Custom Class List===
The Custom Class List and Custom Class Waitlist items on your Banner web menu produce tables with the information from the registration database in the order you select. You can select, copy and paste your tables of names and/or emails into Word or Excel to get started making class lists, etc. (See [[:Image:Banner Custom Class list.png|Figure 8]])

'''Note:''' Mac users need Netscape 7 if they want to do this directly, since Excel puts pasted tables from Safari and Firefox all into one column

Sidenote for Excel users - (If you know a little about Excel you can use a word processor to replace some commas or spaces in what you get from Banner with tabs, then import that tabbed file into Excel and use a formula to get the last names in front of the first names, etc....)
Banner also lets you check the current state of your program budget.

[[category:my.evergreen.edu]]

'''Known Problems:'''

# You must have a student's A........ number to enter an override yourself. (It looks as if you can also do a search by name, but at this point the name search is limited to students who are already registered in your program.)
===Registration Permits/Overrides===

===Custom Class List===

'''Known Problems:'''

# You must have a student's A........ number to enter an override yourself. (It looks as if you can also do a search by name, but at this point the name search is limited to students who are already registered in your program.)
== Printing Support ==
The Support Center provides basic support of the print environment.
* Initial setup, configuration and networking
* Troubleshoot printing issues as they relate to the desktop configurations
* Disposal of college owned printers

== Printer Hardware Maintenance and Repair Services ==
The college does not provide hardware maintenance or repair services of printers. Computing and Communication does still service a small number of high output printers under our management that are used by students.

All other printers including personal, office and work group printers will not be repaired or maintained by the college. As an example, replacing infusers, cartridges, rollers, clean out toner spills, replace toner cartridges or anything requiring more training, tools or knowledge than an end user would reasonably need, fall on the area or work group to resolve. Replacing a toner cartridge, adding paper to a tray, troubleshooting a paper jam are all examples of simple, end user tasks that are documented in the user manuals provided to the consumer with the printer. Office workers should be able to accomplish those tasks (follow basic instructions, most often with pictures, in a user manual) as part of their daily work.

If they have problems doing that, the Technical Support Center (TSC) will provide '''''printer(and all other devices) support''''' in a limited manner - basic troubleshooting (cable fell out, a reboot, etc.), coordinate installs (network configuration and security configurations) and provide end-of-life disposal and surplus. They can also advise, within their scope of knowledge whether or not they think the printer needs repairs that could be done under warranty or extended support agreements and when it needs to be replaced.

Printer hardware maintenance and repair options for college owned printers include the following:
* Purchase hardware through the purchasing office with a vendor who can provide an extended maintenance contract
* Lease hardware through the college bookstore that would include a maintenance and repair service as part of the lease agreement (MFD's only)
* Purchase small inexpensive desktop print devices that can be more easily replaced if necessary rather than repaired

== Printer Purchasing ==
The college will assist staff to acquire printers through two different strategies. If a work area would like to purchase a printer, they may do this based on supported devices as identified below. Devices that are requested that are not on this list would require specific review and approval by C&C before purchasing. These printers are supported by C&C as described later in this article.

Alternatively a work area may decide to lease a printer/multi function device (MFD) through the bookstore. This is a good option for areas that are looking for a fully supported printing experience that can include materials (paper and toner), repair and replacement. For more information regarding this option customers should be pointed to the Greener Store for more information.

The printers below are currently approved for purchase through the college purchasing office.
== Printing Support ==

Small desktop printers are consumable items and do not fall under any repair agreements. Options for hardware maintenance and repair for larger high output devices include the following:
* Purchase hardware through the purchasing office with an extended maintenance contract
* Lease hardware through the college bookstore that would include a maintenance and repair service as part of the lease agreement
* Purchase small inexpensive desktop print devices that can be more easily replaced if necessary

== Printer Purchasing ==
The college will acquire printers through two different strategies. If a work area would like to purchase a printer, they may do this based on supported devices as identified below. Devices that are requested that are not on this list would require specific review and approval by C&C before purchasing. These printers are supported by C&C as described later in this article.

Alternatively a work area may decide to lease a printer or MFD through the bookstore. This is a good option for areas that are looking for a fully supported printing experience that can include materials (paper and toner), repair and replacement. For more information regarding this option customers should be pointed to the Greener Store for more information.

The printers below are currently approved for purchase through the college purchasing office.

====Scheduling a Single Event====
Any faculty or staff at Evergreen can schedule and request space for a single event on campus. Students who want to do this can work through a staff sponsor or a faculty member who can schedule and request space on their behalf.
====Scheduling an Event with Multiple Activities====
Staff and Faculty at Evergreen can schedule and request space for a multiple activity event on campus. This would be something whereby a single event has multiple activities that would require multiple space reservations and that might need to have adjacency heavily considered during the space assignment process. This could also be an event that spans multiple days but that you would like to have under a single umbrella event.
