Classroom AV Quick Guide
For Use Within the SEM I Classrooms • Extron touch panels
Everything in the room runs from the touch panel at the podium. Tap the panel to wake it. The room name and number are always shown along the bottom of the screen. Note them if you need to call for help from IT Support.

Start here
Tap on the Start Screen to activate the classroom systems.
Then you have two ways to get a picture on the projector. Pick the one that matches what you are teaching from.
Teaching from the classroom computer (Mac Mini)
# Tap the panel to wake it.
# Tap Mac Mini. The tile turns green and reads Video Detected when the computer is sending a picture.
# If the projector's screen is still up, tap the down arrow under Screen Controls.
# Set the volume with the Vol slider on the right edge of the panel.
Presenting from your own laptop
# Plug the podium HDMI cable into your laptop. Bring your provided adapter if your laptop does not have a full-size HDMI port. We should have adapters available in the classrooms but they have been known to walk off.
# Tap HDMI.
# Wake your laptop and keep it awake, a sleeping laptop sends no picture.
# If the tile stays grey and reads No video - Check the Source, see If something is not working below.
Note: the room cameras and meeting controls are only available on the Mac Mini source. If you are teaching over Zoom or Teams from your own laptop, the room cameras will not be available to it.

Home Screen and Functions
Question mark || Left edge || Opens the Support screen: phone number and live system status.
Power || Left edge, bottom || Shuts the classroom AV system down. Use it at the end of class.
Volume slider || Right edge || Speaker volume in the room for whichever source is selected.
Speaker icon || Right edge, bottom || Mutes and unmutes the room speakers.
Room name and date || Bottom center || The room you are in. Give this number when you call for help.

Classroom computer (Mac Mini)
Selecting Mac Mini opens two sets of controls.
Display
* Blank Screen — hides what is on the projector without turning it off. Useful while you set up, or while you work on something you would rather the room did not see. Tap it again to bring the picture back.
* TV Mirror — sends the same picture to the room’s TV displays, for students seated where the projector screen is hard to see.
* Screen Controls — the down arrow lowers the projector screen, the up arrow raises it.
Meeting Camera
* Tap the camera button to choose which camera is sent to your meeting.
* Tap Home, Preset 1, Preset 2 or Preset 3 to move that camera to a saved angle. Presets cover the usual shots - the front of the room, the whole seminar table, the whiteboard.

Your Laptop (HDMI)
The podium HDMI cable works with a laptop, a document camera, or any other device with an HDMI output.
Display controls behave exactly as they do for the Mac Mini: Blank Screen, TV Mirror and Screen Controls all still work. The meeting camera controls are not available on this source.

Teaching over Zoom or Teams
Use the classroom computer for hybrid and remote sessions, that is the source the room cameras and microphones are wired into.

# Tap Mac Mini on the panel.
# Start your Zoom or Teams meeting on the classroom computer.
# In the meeting app’s video settings, choose Extron MediaPort as the camera. This is the room camera feed, not the small webcam built into any display.
# Check that the microphone in the meeting app is set to the room audio, and that the microphone icon on the panel is not muted.
# Use the camera button and the presets to frame the shot for remote participants.
The room picks up sound from the instructor microphone and from the Catchbox microphone passed around the class. Remind students to speak into the Catchbox so remote participants can hear them.

When class is over
Leave the room the way you would want to find it.
* Tap Power at the bottom-left of the panel to shut the classroom AV system off.
* Raise the projector screen.
* Mute anything that you have used, so the next class starts from a known state.
* Unplug the HDMI cable.
* Log out of the classroom computer.
* Return the Catchbox microphone, and instructor microphone to their charging spots.

If something is not working
Most problems in this room are a sleeping laptop, a loose cable, or a mute that was left on. Work down this list before calling.
What you are seeing !! What to do
The panel is dark || It is asleep. Touch anywhere on it.
HDMI tile reads "No video - Check the Source" || Wake your laptop and make sure it is not set to sleep.
Unplug and reseat the HDMI cable at both ends — the podium end comes loose more often than the laptop end.
If you are using an adapter, disconnect and reconnect it.
Try mirroring rather than extending your displays.
Mac Mini tile reads "No video - Check the Source" || Move the mouse or press a key to wake the computer. If the tile stays grey after a minute, call AV support.
Projector is on but the picture is blank or grey || Blank Screen is probably on. Tap Blank Screen to turn it off.
Nothing on the room TVs || Tap TV Mirror to send the picture to them.
No sound in the room ||
* Check the Vol slider is not at the bottom.
* Check the speaker icon is not muted.
* Check the volume inside the application you are playing from.
Remote participants see the wrong picture || The meeting app is using the wrong camera. Set it to Extron MediaPort in the video settings.
Remote participants cannot hear the room ||
* Check the microphone icon on the panel is not muted.
* Check the microphone selected in the meeting app.
* Check the catchbox microphone is charged and switched on.
Checking System Status
Tap the question mark on the left edge of the panel. The Support screen lists every video source in the room, the classroom computer, HDMI, both cameras and the MediaPort, with a plain-English status next to each one. Reading that list to AV support will support getting you an answer faster.

Getting Support
Classroom AV support: 360-867-6270
When you call, have these three things ready:
* The room name and number from the bottom of the panel.
* Which source you selected - Mac Mini or HDMI.
* What the System Status screen says.

* Raise the projector screen.
* Mute anything that you have used, so the next class starts from a known state.
* Unplug the HDMI cable.

Inclement Weather - Power & Internet Outages

Wdhn2983: Displaying M365 information more clearly - I will return to make more formal edits to this page.

How can this affect staff working remotely?
A power outage on campus tends to impact us because 1) most of our network switches located in buildings, do not have back-up power. Therefore, the building loses network connectivity - wired and wireless connection between your device and resources like the internet. 2) in our current remote status, approximately 347 users are using their office computers as remote desktops. Most office computers do not have back-up power. Once power is restored, many computers automatically cycle back on. Many older computers do not. If the power is bumpy, instead of just out completely, many computers experience hard shut-downs between multiple cycles causing them to not recover and stay off. In those cases, they must be manually restarted.

Access to Evergreen computing services during a power outage
Fortunately, the Library building has a commercial power generator that turns on as soon as the power goes out. Our data center, as well as many areas in the library have emergency power from this generator. The data center also has uninterruptible power supplies that smooth out the power bumps and prevents the servers and network equipment from shutting down during a power outage. Because of this, most of our systems will remain available through most power outages.
That is not 100% guaranteed (like in a severe regional catastrophic earthquake), but probably 95% of the time during common winter storms lasting less than 2 weeks.

The other component affecting access to systems is our internet connection. We use the state of Washington K-20 network, as do most public higher ed institutions and school districts throughout the state. We have no control over the availability of that network, which runs over Comcast circuits. So, if K-20 is down, chances are Comcast is too and many other people across the state. However, as long as we have internet connection, you should be able to access most of our systems from off-campus.

The third issue affecting connectivity is your personal computing environment. You need to have a computer, power and internet connection at your location to access Evergreen systems. A laptop with a battery or a computer with a battery power supply will give you a few hours of connection, provided you have an available internet connection – local service provider or cellular.

Evergreen computing services most likely to be available during an extended power outage
Our strategic direction since 2014 has been to adopt a “cloud-first” approach to software application hosting. This has led to many of our mission critical systems being hosted by our vendors and accessible via the internet. This means that if you have a computer, power and internet, you can access them from any location. They are unaffected by campus power outages or inclement weather on the Olympia campus. They are, rarely, subject to service outages that may prevent your access, but most have contractual requirements to provide better than 90% availability 24 hours every day. During an outage, you should be able to access:

* www.evergreen.edu, our main public website, will provide campus status and instructions during inclement weather.
* Office.com provides access to all of your productivity tools – Outlook (email), OneDrive, Word, Excel, Teams, etc. – and MyWorkstation and MyRemoteApps. MyWorkstation is used to remotely access your office computer. MyRemoteApps is used to access a virtual desktop (more broadly available in November 2020). Both provide access to Banner and adminweb.evergreen.edu. Banner is our campus administrative system. Adminweb is the portal to Evergreen’s administrative applications and reports. Access to these resources is restricted to authorized users only.
* my.evergreen.edu provides access to all staff, faculty and student resources – My Files, Time & Leave, Hiring, Canvas, your user profile for password resets, Online Academic Records, Registration and student services, etc.
* Canvas.com is our teaching and learning platform and is vendor hosted for remote access.
* Zoom.com provides our video conferencing.
* Adobe.com provides Creative Cloud and Acrobat Pro for creation and editing.
* And many other specialized systems used by various offices for specific administrative functions.

Recommendations
Supervisors and staff need to plan ahead of inclement weather and power outages. Determine what work you can and cannot perform if the power is out at your home. Identify and prepare low-tech and no-tech tasks that you can accomplish during outages. Or agree to other alternatives, like taking leave.
Hardware MFA Tokens
A hardware MFA Token is a small device about the size of a thumb drive. This device has a small screen on it displaying a number that frequently changes. When logging into an application protected by M365 you will need to type in the current number from the MFA token as your second factor. This means to use your M365 account you will always need to carry the MFA token to do so.

Getting an MFA Token issued
# If you need to be issued one of these, contact the Technology Support Center to schedule a time to come into do this.
# It will probably take about 10 minutes to do this. If you have an Evergreen issued laptop and can bring it with you it will make the process faster.
# If you were issued a MFA Token but were not able to activate it at TSC please follow the instructions below.
## Go to https://mysignins.microsoft.com/security-info
## Select "+ Add sign-in Method"
## Chose Hardware token
## Follow the instructions on the screen

Please note that any existing MFA tokens you were issued for the previous system are not usable with this new system.

Updated Password Requirements (Washington State Alignment)
The Evergreen State College has updated its password requirements to align with Washington State security standards. These standards emphasize improving real-world security while reducing user burden.

Password Managers
With these updated requirements, users are encouraged to adopt a password manager to securely store and generate strong, unique passwords.

Why Use a Password Manager?
* Generates strong, random passwords

* Reduces password reuse

* Securely stores and autofills credentials

* Helps comply with Evergreen and state security expectations
Strong password usage is one of the most effective protections against unauthorized access and cyberattacks.

Browser Password Managers (Not Recommended)
While convenient, the college does not recommend relying on browser-based password managers (such as Chrome, Edge, Firefox, or Safari) as a primary solution.

Key Concerns
* Weaker security models

* Often lack zero-knowledge encryption or advanced protections

* Exposure to browser-based threats

* Browsers are common targets for malware, phishing, and malicious extensions

* Credential/key storage risks

* Encryption keys may be stored in predictable or accessible locations

* Shared attack surface

* Passwords are stored in the same environment used for web browsing, increasing risk

* Limited enterprise features

* Lack secure sharing, auditing, and organizational controls
Browser managers are better than reusing passwords - but dedicated password managers provide significantly stronger protection.

Recommended Password Managers
The following tools are commonly recommended for Evergreen users. These recommendations are non-binding and do not constitute official endorsement or support. Additional details are available through the provided links.
Summary
* Evergreen is aligning with Washington State password standards

* Password managers are strongly encouraged to support secure practices

* Dedicated password managers are preferred over browser-based options

Additional Guidance
* Never share your password with anyone

* Enable MFA wherever possible

* Report suspected compromised accounts immediately to IT email: support@evergreen.edu or call: (360) 867-6627

* Generates strong, random passwords

* Reduces password reuse

* Weaker security models

* Often lack zero-knowledge encryption or advanced protections

* Exposure to browser-based threats

* Browsers are common targets for malware, phishing, and malicious extensions

* Credential/key storage risks

* Encryption keys may be stored in predictable or accessible locations

* Shared attack surface

* Passwords are stored in the same environment used for web browsing, increasing risk

* Limited enterprise features

* Weaker security models

* Often lack zero-knowledge encryption or advanced protections

* Exposure to browser-based threats

* Browsers are common targets for malware, phishing, and malicious extensions

* Credential/key storage risks

* Encryption keys may be stored in predictable or accessible locations

* Shared attack surface

* Passwords are stored in the same environment used for web browsing, increasing risk

* Limited enterprise features

*

Summary
* Evergreen is aligning with Washington State and NIST-based password standards

* Password managers are strongly encouraged to support secure practices

* Dedicated password managers are preferred over browser-based options

Additional Guidance
* Never share your password with anyone

* Enable MFA wherever possible

* Report suspected compromised accounts immediately to IT email: support@evergreen.edu or call: (360) 867-6627
<div class="lead">
It is important to understand when and how your My Evergreen account will be deactivated. This guide explains the status changes, access timeline, and how to prepare for deactivation.
</div>

Account Deactivation
While you are an active student at Evergreen, you have access to a My Evergreen Account as a single sign-on for almost all of your Evergreen information technology needs.

You might have many roles on campus. Each role gives you access to specific resources in your account. For example, as an active student, you have access to an Evergreen email address, Canvas, WordPress sites, and network file space. As a student employee, you have access to time sheets and Microsoft Teams.

When you stop attending Evergreen as a student, you are considered "withdrawn". You still have an Evergreen account, but the associated resources may change. After a period of time, your account may be deactivated. We will always have a record of your account, but you would need to re-enroll to "re-activate" the account, or request a Former Student account.

When do student resources go away?
When you are no longer enrolled in courses as a student at Evergreen (i.e. you are "withdrawn"), you will eventually lose access to student resources.

Your student status may be updated to "withdrawn" if any of the following apply:
*: You are admitted to Evergreen but do not attend or successfully complete the first quarter you were admitted. Your status is updated between weeks 3 and 5 of the quarter you were admitted.

*: You successfully completed the term you were admitted but have been gone for 4 or more quarters after that. Your status is updated week 3 of the 5th quarter you were not enrolled.

*: You asked to be withdrawn from Evergreen (via Registration and Records' Change of Status form). Your status is updated immediately when Registration and Records receives your form.

*: You were attending as a non-degree-seeking, non-admitted ("special") student and are no longer registered. Your status is updated the week 3 of the first quarter you are not registered.

*: You completed your degree and graduated from Evergreen. See: Student Account Deactivation

Why do we change access and de-activate accounts?
Resources are provided to us by the state of Washington so we can help you fulfill your role(s) at Evergreen. When you no longer have a particular role at Evergreen, we can no longer provide state resources for that role.

Active but unused accounts put our systems at risk. For this reason, we deactivate accounts after a certain period of time. We know some people enjoy continued use of their Evergreen accounts and want to keep them permanently. We attempt to balance that desire with the need to keep our systems secure by keeping accounts active with access to resources for a period of time after your role at Evergreen changes.

Email
Be sure to contact anyone who corresponds with you via your evergreen.edu address, and give them a different email address to use. All emails will be deleted during the account deactivation process.

We are happy to help you manage your email through this transition. Please contact the Academic Computing Center at help.evergreen.edu for help with this process.

Evaluations and Academic Statement
Are your Self-Evaluations Finished? Login to my.evergreen.edu to complete any outstanding self-evaluations. You might also choose to save past evaluations as PDFs to your own computer. Your Academic Statement, narrative evaluations from your faculty and perhaps some of your own self-evaluations are what make up an Evergreen transcript. The Registration Office will always be available to produce official and unofficial transcripts for you.

Eval Questions? Visit www.evergreen.edu/evaluations or create a support ticket at help.evergreen.edu

Employment and Timesheets
If you have worked for the college and need to continue accessing your timesheet past the deactivation deadline, please contact your supervisor who can make arrangements to extend or change your account as necessary.

Canvas at Evergreen
Please see Save Content from Canvas and the Canvas guide: How do I download assignment submissions from all my courses?

WordPress at Evergreen
Our WordPress instance for students is wordpress.evergreen.edu. Student sites of students who are no longer with the college/have graduated are routinely purged to make space for new sites. You can backup your site content by creating an Export file at individual sites, which can be imported into WordPress.com or other web-creation platforms - for instructions, please see Exporting and importing your site. It is also a recommended practice to save content on your computer in clearly labeled folders.

Network File Space
All network resources (including network file space) will be deleted 60 days from the date that the logins have been disabled. It is important that students wishing to preserve materials in these folders make their own copies before this date. For more information on accessing your network file space, see: File Space Overview.

Web Payment
Once your account is closed, you will no longer have access to the web payment feature (paying off outstanding balances, viewing statements from the school, management of authorized user accounts). If you have a balance you will need to continue paying, please make arrangements with Student Accounts at studentaccounts@evergreen.edu or (360) 867-6447.

Order Transcripts
Once your My Evergreen account is deactivated, you can still access your student records online. Go to Order a Transcript to learn more. Note: there is no need to request a new login until your existing login is disabled.
# Choose single- or double-sided printing, then click the green button for "Print Options and Account Selection"
# Enter the number of copies you'd like to print, then click on the green button to "Upload Documents" <br>Note: This number is applied to the documents you upload in the next step. # If you're unsure about the name of the printer you'd like to use, you can physically go to the printer of your choice and sign in at the associated print release station.

Overview
The college has implemented a new approach to internal communications to ensure messages are strategic, coordinated, and streamlined. As part of this effort, the previous moderation and exempt sender process for the All Staff and Faculty Distribution List (DL) has been retired.

This change supports improved communication practices and aligns with industry best standards.

What Changed?
* The All Staff and Faculty DL is no longer moderated by individual exempt senders.
* Responsibility for approving and sending messages has moved to the Internal Communications Advisory Group.
* The All Faculty DL is not affected by this change.
* Executive Leadership Team (ELT) and Senior Leadership Team (SLT) members retain the ability to send messages directly.

Why the Change?
* To provide a more strategic and coordinated approach to college-wide communications.
* To ensure accuracy of audience lists and reduce redundant or conflicting messages.
* To centralize communication through a dedicated internal communications process.

Who Can Send Messages?
* Members of the Internal Communications Advisory Group.
* ELT and SLT members.
* Certain roles, like the Associate Vice President for Enrollment, Marketing and Communications, may also have direct send permissions.

Internal Communications Advisory Group Roles
The group includes representation from across the college. Current roles include:
* Internal Communications Liaison
