Sunsetting the All Staff and Faculty Distribution List Moderation Process

Overview
The college has implemented a new approach to internal communications to ensure messages are strategic, coordinated, and streamlined. As part of this effort, the previous moderation and exempt sender process for the All Staff and Faculty Distribution List (DL) has been retired.
This change supports improved communication practices and aligns with industry best standards.
What Changed?
- The All Staff and Faculty DL is no longer moderated by individual exempt senders.
- Responsibility for approving and sending messages has moved to the Internal Communications Advisory Group.
- The All Faculty DL is not affected by this change.
- Executive Leadership Team (ELT) and Senior Leadership Team (SLT) members retain the ability to send messages directly.
Why the Change?
- To provide a more strategic and coordinated approach to college-wide communications.
- To ensure accuracy of audience lists and reduce redundant or conflicting messages.
- To centralize communication through a dedicated internal communications process.
Who Can Send Messages?
- Members of the Internal Communications Advisory Group.
- ELT and SLT members.
- Certain roles, like the Associate Vice President for Enrollment, Marketing and Communications, may also have direct send permissions.
Internal Communications Advisory Group Roles
The group includes representation from across the college. Current roles include:
- Associate Vice President for Computing and Communications
- Internal Communications Liaison
- Director of New Student Programs
- Director of Academic Initiative Integration and Support
- Native Programs Specialist
- Academic Technologies Supervisor
- Associate Vice President for Enrollment, Marketing and Communications
- Student Communications Liaison (Geoduck Student Union)
- Administrative Assistant to AVP of Inclusive Excellence and Student Success
- Faculty Representative
- Associate Vice President of Inclusive Excellence and Student Success
- Executive Associate to the Provost and VP for Academic Affairs
- Associate Vice President for Human Resource Services
- Associate Director of Media Services
- Public Relations and Marketing Manager
How to Send a College-Wide Message
If you are staff or faculty and need to send a message to the All Staff and Faculty DL, you must:
- Work through the Internal Communications team, or
- Coordinate with your department leadership who are members of ELT or SLT.
These contacts will ensure your message is reviewed and sent through the appropriate channels.
Effective Date
The new process began January 3, 2022 and remains in effect.
