Personal Holiday and Personal Leave Day

If you are an employee working an alternate schedule (full-time or part time) the Personal Holiday and Personal Leave Day accrual, based on your FTE appointment, does not always match the hours of work scheduled on a given day.

Note: Except for the allowable exceptions listed in the CBA’s, both the Personal Holiday and the Personal Leave Day must be used as a 1-day absence; the hours cannot be spread out and used over multiple workdays.

Exceptions: Upon request, an employee will be approved to use part or all of the employee’s Personal Leave Day for:

1. The care of family members as required by the Family Care Act, WAC 296-130;
2. Leave as required by the Military Family Leave Act, RCW 49.77; or
3. Leave as required by the Domestic Violence Leave Act, RCW 49.76.
4. Any remaining portions of Personal Holiday/Personal Leave Day must be taken as one (1) absence, not to exceed the work shift on the day of the absence.

Personal Holiday

Article 10.4 E - Classified Collective Bargaining Agreement

The pay for an employee’s Personal Holiday is equivalent to the employee’s work shift on the day selected for the Personal Holiday absence.

Article 12.4 – SSSSU Collective Bargaining Agreement

The pay for an employee’s Personal Holiday will be equivalent to the employee’s core hours of work on the day selected for the Personal Holiday absence.

Therefore Personal Holiday is equivalent to the employee’s work shift on the day selected by the employee.

Example # 1: You are a full-time employee and work a 4 x 10 hours day schedule, your shift on each day is 10 hours, but you only have 8 hours Personal Holiday accrual based on your FTE. To request a 10 hour day/shift off as Personal Holiday you have to enter two separate leave requests - 8 hours Personal Holiday and 2 hours Holiday Credit through the leave system.

Example # 2 You are a part-time employee and work a 3 x 8 hours day schedule – 0.60 FTE (24 hours/week), your shift on each day is 8 hours, but you only have 4.80 hours Personal Holiday accrual based on your FTE. To request a 8 hour day/shift off as Personal Holiday you have to enter two separate leave requests – 4.80 hours Personal Holiday and 3.20 hours Holiday Credit through the leave system.

Personal Leave Day

Article 18.5 E - Classified Collective Bargaining Agreement

The pay for a full-time employee’s Personal Leave Day is eight (8) hours.

Article 16.3 D – SSSSU Collective Bargaining Agreement

The pay for a full-time employee’s Personal Leave Day is eight (8) hours.

In accordance to the CBA’s an employee will only receive 8 hours (full-time or pro-rated if less than full-time) Personal Leave Day even though they may work more hours in a shift. Using the Personal Leave Day on a day when the shift exceeds 8 hours (or pro-rated based on the FTE) the employee will have to substitute the difference with paid or unpaid leave.

Example # 1 4 x 10 hours shift (1.0 FTE)

8 hours Personal Leave Day

2 hours Vacation Leave

Example # 2

3 x 8 hour shift (0.6 FTE)

4.8 hours Personal Leave Day

3.20 hours Vacation Leave
