Teams Best Practices

Our primary goal is to ensure that we uphold data security and are in compliance with FERPA laws. For this reason, we advise some best practices for using Teams.

  • Teams should be structured to grant access to members who need access to data in the Team.
  • Create private, or shared channels when access needs to be limited to separate membership, or create a separate Team if applicable. Ex: Student employees need access to a Team and they have their own Team and collaborate with the pro-staff Team through a shared channel.
  • Use your Team membership as the default for creating share links to documents.

Managing Team Membership - Add/Remove


Alert: Once your Team has been created turn-off member permissions in your Team settings so that members cannot create private channels or delete channels.

Private Teams Only at Evergreen

In Microsoft Teams, public Teams are visible and accessible to everyone in the organization, while private Teams require explicit invitation and permission to join. To protect data security, Evergreen only allows the creation of private Teams.

  • Private Teams: can only be joined if the team owner adds someone to them. All Team members can request a user be added but only the Team owner can approve membership.
