WordPress sites at Evergreen are subject to routine lifecycle management to maintain platform security, stability, and data sustainability.

Curricular & Academic Program Sites

Sites associated with academic programs on sites.evergreen.edu are intended for active course delivery and will be removed from production on an annual basis.

Timeline: Decommissioning occurs annually after July 15.
Process: Academic Computing staff will identify curricular sites, deactivate public access, and schedule them for deletion.
Recurring Programs: Faculty planning to reuse a site for an upcoming recurring course must submit a request prior to July 15 to exempt their site from the annual deletion cycle.

Group, project or administrative sites

Group, project, and department sites will remain online as long as they are actively maintained. To prevent "ghost sites," an automated inactivity policy is enforced.

Inactivity Clause:

Any site that has experienced no administrative updates (new posts, pages, or edits) or owner logins for 12 consecutive months will be automatically flagged for decommissioning.

The Sunset Process:

An automated email warning will be sent to the registered site owners.
If no administrative activity occurs within 30 days of the warning, the site will be changed to a deactivated/private state (taken offline).
Deactivated sites are held internally for 6 months. If no restoration request is made by the owner during this grace period, the site and all its assets will be permanently deleted.

Individual & Student Sites

Individual user sites are tied directly to active institutional affiliation. Individual sites will be scheduled for permanent deletion immediately following the expiration or deactivation of the creator's Evergreen login credentials.

Self-Service Archiving

Academic Computing no longer hosts a public flat-HTML archive (archives.evergreen.edu). Site owners who wish to keep a permanent historical record of their work are responsible for exporting their data. You can download your content at any time via your dashboard under Tools > Export to save your files locally or migrate them to an external hosting provider.
