Basic Permissions

All M365 Group members have the choice to Follow or Unfollow an M365 Group Inbox.

Following the Group Inbox

When a member follows a Group Inbox, they receive copies of all group conversations and events directly in their personal Outlook inbox. This can be helpful for staying updated on group activity and ensuring they don't miss important information, especially in active groups.

Unfollowing the Group Inbox

If a member chooses to unfollow the Group Inbox, they will no longer receive copies of all group messages and events in their personal inbox. However, they remain members of the group and can still access the group's shared workspace (including the Team and other resources) to view past discussions and participate in group activities when they choose. This is useful for reducing inbox clutter, particularly in groups with a high volume of emails that may not require immediate attention.


Additional Permissions

M365 group owners can enable permissions on group mailboxes they own so members can do the following actions:

  • Create folders.
  • Rename folders.
  • Move and delete messages.



M365 group owners can enable these permissions in their Microsoft 365 Groups using the following steps in Outlook on the web:

  1. While signed in as the group owner, go to https://outlook.office.com/groups/home.
  2. On the groups page that opens, select the Microsoft 365 Group.
  3. On the group details page that opens, select Settings.
  4. In the Group settings flyout that opens, select Edit group.
  5. In the Edit group page that opens, select All members will be able to create, edit, move, copy and delete mail folders and rules within the group in the Permissions section.
  6. When you're finished on the Edit group page, select Save.
