About Lists
Microsoft Lists allows you to create, collaborate on, and present data in a centralized location within your Microsoft Team or SharePoint site. It is designed to be easy to sort, edit, and view in different formats. You can create a form within Microsoft Lists to easily collect list data.
Key Features
Team Integration: Works across all Microsoft Teams channel types (standard, private, and shared). SharePoint Integration: Can be embedded into SharePoint site pages as either a read-only report or a collaborative shared repository. Data Collection: You can build forms directly within Microsoft Lists to easily collect and populate data.

Limitations
No Direct Move Function: You cannot directly move a list's entire structure (including its columns, custom views, and settings) to a new SharePoint site or Team once it is created. While you can export the raw data to Excel or a .csv file and copy it over, you will lose your custom formatting and column configurations.
Rule Constraints: Each individual list is strictly capped at a maximum of 15 automated rules.
Other considerations:
- List data library limits
- 15 rule limit in each list Create a List rule
Version Control & Permissions
Manage background settings keeps your list secure and track changes over time.
- Version History Microsoft Lists automatically tracks changes by default. Every time a row is edited, a new version is saved.
- To View or Restore:Click the **three dots (...)** next to any list item and select "Version History". You can see who made changes, what was altered, and click "Restore" to revert to an older version.
- Access Permissions You can control who views or edits your data to prevent accidental deletions.
- Inherited Access: By default, lists inherit permissions from their parent Microsoft Team or SharePoint site (e.g., Team Members can edit; Guests can only view).
- Custom Access: To restrict data, go to Settings (Gear Icon) > List Settings > Permissions for this list. Select Stop Inheriting Permissions to assign unique roles (Full Control, Edit, or Read-Only) to specific people without altering their access to the rest of the Team.
- Item-Level Control: For sensitive workflows, advanced settings allow you to configure the list so users can only read or edit items they personally created.
